The Ohio River is the first thing to ask about

Cincinnati sits on the Ohio River with Kentucky on the far bank, and the Brent Spence Bridge between them is a daily traffic story. A coffee provider with its warehouse north of the river will not treat Covington or Florence the way it treats Mason or Fairfield. Some providers run separate Kentucky routes, and some do not. Tell them where you are and ask which truck serves you.

Northern Kentucky has offices around Covington's riverfront and distribution centers near the airport in Boone County. Florence has the medical offices. A route that covers that area is worth asking for by name.

Downtown, Over-the-Rhine and the corporate core

Downtown Cincinnati has several large corporate headquarters, plus law firms and accounting offices that depend on them. Those big employers run their own kitchens. The market for a coffee route is the mid-sized firms around them. Over-the-Rhine has added creative agencies and startups in renovated brick buildings with small kitchens.

These older buildings have a familiar problem. Space for a machine is tight, and the landlord may not want a water line cut. Ask for a compact bean-to-cup or a single-cup brewer, and send a photo of the counter to the provider before they quote. Many Over-the-Rhine blocks have street parking only, so ask how long the driver expects to be at the curb and whether the driver hand-carries.

Cincinnati Children's Hospital Medical Center and UC Health, tied to the University of Cincinnati, are the big names on the medical side, with research labs and specialty practices around them. Providers who work with medical offices should offer sealed single-serve cups and replace a broken machine quickly. Around Clifton and Corryville, garages often have low clearance that keeps box trucks out, so ask about hand delivery. Also ask whether Ohio and Kentucky deliveries are invoiced together or separately.

The Banks district on the riverfront mixes offices, hotels and the ballpark and stadium. Those buildings often have managed docks, and deliveries have to fit narrow windows. Ask the provider whether their driver has worked in buildings with a managed dock.

Norwood, Blue Ash and Sharonville have long-established manufacturers and professional firms. If yours has sat in one building for years, say so on the request.

North of town: Mason, Fairfield and the I-75 and I-71 corridors

The suburbs along I-71 and I-75 have become a second office district. Mason has corporate campuses and office parks, and Fairfield and its neighbors have manufacturing and distribution. These sites usually have bigger break rooms and easier truck access. A provider can drop a full pallet at a loading dock without a parking fight.

Pricing out there can run friendlier than downtown, since stops are shorter. If you are in a suburban office park, say so, and ask whether the quote reflects it.

The airport, the warehouses and the shift crowd

Cincinnati has a big cargo operation. The airport across the river in Kentucky handles a lot of freight, and the warehouses and distribution centers around Florence, Independence and Hebron employ shift workers around the clock. Those break rooms need volume more than variety: large bags of coffee, filters, cups by the sleeve, and a delivery driver who can get a pallet jack to the door.

On the Ohio side, Fairfield and the Butler County corridor have manufacturers and suppliers with the same appetite. A good provider with a truck on that route can serve both Fairfield and Mason in one run.

Ask for the total on the quote, not only the unit price. Cross-river accounts sometimes come with a delivery surcharge or a different minimum, and it is easier to learn that from a page than from the first invoice. Then compare the totals side by side, month to month, for the same headcount.

Hills matter here as much as the river. Cincinnati is built on steep slopes, and a driver heading to an office in Mount Adams or a clinic up a grade has a harder time than one rolling into a flat park in Mason. Give the provider the exact entrance, and mention any stairs.

Ice storms and missed stops

Ohio winters are not as harsh as Cleveland's, but ice storms and a few snow days will interrupt a route. Ask how a provider handles a missed delivery, and how soon the truck comes back. Keep an extra case of coffee and cups on hand, because Cincinnati's hills make the first icy morning a slow one. If your office closes for snow, tell your provider so they do not leave cases in an unheated lobby.

What to settle before you sign

  • Who services the machine in Kentucky, if that is where you are.
  • Whether the minimum order counts water and supplies.
  • How cleaning works and who pays for repairs.
  • How you cancel, and when.

Cincinnati employers tend to stay put, and some will outlast their provider. Pick one likely to answer the phone in three years.

Ask for references from one office in Covington and one in Mason. The two will tell you different stories about the same provider.
